- 2.1 The Race Organizers reserve the right to cancel, postpone, or modify the event due to exceptional circumstances, including but not limited to:

- Extreme weather conditions (e.g., blizzards, extreme cold, flooding)

- Natural disasters (e.g., earthquakes, landslides)

- Pandemics or other public health emergencies

- Government regulations or restrictions

- Safety concerns that cannot be adequately mitigated

- 2.1 The Race Organizers reserve the right to cancel, postpone, or modify the event due to exceptional circumstances, including but not limited to:

- 2.2 In the event of cancellation, the Race Organizers will make reasonable efforts to notify participants promptly.

- 2.3 If the event is canceled due to circumstances beyond the control of the Race Organizers (force majeure), participants will not be entitled to a refund of the registration fee. The Race Organizers cannot be held liable for any costs incurred by participants, including travel and accommodation expenses.

- 2.4 If the event is postponed, registrations will automatically be transferred to the new date. Participants unable to attend the rescheduled event may be offered a partial credit or deferral to a future event, at the discretion of the Race Organizers.

- 3.1 Participation in the event requires excellent physical and mental health. Participants are responsible for ensuring they are medically fit to undertake this challenge.

- 3.2 Participants acknowledge the inherent risks of an ultramarathon, including but not limited to hyperthermia, heatstroke, hypothermia, frostbite, exhaustion, dehydration, falls, and injuries.

- 3.3 The Race Organizers strongly recommend that all participants undergo a comprehensive medical examination by a qualified physician prior to the race.

- 3.4 Participants are required to disclose any pre-existing medical conditions that may affect their ability to safely complete the race.

- 3.5 Legends Trails vzw (the Race Organizers) cannot be held responsible for any medical issues experienced by participants before, during, or after the race.

- 4.1 The Race Organizers do not provide personal injury or civil liability insurance for participants unless it’s explicitly mentioned on the official race website.

- 4.2 Participants are strongly encouraged to obtain their own insurance covering personal accidents, medical expenses, repatriation, and third-party liability.

- 5.2 Race numbers must be worn visibly at all times during the race.

- 6.1 The Race Organizers are not responsible for any damage, loss, theft, or destruction of personal belongings of participants, before, during, or after the race.

- 7.1 Participants acknowledge that the race may take place on or near public roads and trails that may be shared with other users (vehicles, pedestrians, cyclists, etc.).

- 7.2 Participants must adhere to all applicable traffic laws and regulations when on public roads, as detailed in the Race Rules.

- 7.3 Participants must show respect and courtesy to all other trail users and local communities.

- 8.1 The Race Organizers reserve the right to modify the race route, checkpoints, or schedule at any time due to safety concerns, weather conditions, or other unforeseen circumstances.

- 9.1 The distribution of prizes, as listed on the event website, is not contractually binding and may be modified at the discretion of the Race Organizers.

- 10.1 Participant information is collected and used by the Race Organizers for the purpose of organizing and managing the event.

- 10.2 Participant data may be shared with partners and sponsors of the event, but only those who are contractually bound to the Race Organizers.

- 10.3 By participating, participants grant the Race Organizers the right to use their name, image, likeness, and race results in any media (print, film, video, digital, etc.) for promotional purposes related to the event, without compensation.

- 10.4 Participants can opt out of any data sharing not related to the operations and safety of the race.

- Cancellation by Participant:

- 1.1 Participants may cancel their registration up to 11:59 PM (CET) four weeks before the event date.

- 1.2 Cancellations made before the deadline stipulated in 1.1 will be eligible for a 50% refund of the registration fee.

- 1.3 Cancellations made after the deadline stipulated in 1.1 will not be eligible for a refund.

BIB TRANSFER POLICY

- Self-Service Bib Transfer: Participants have the option to transfer their bib number to another individual up to 11:59 PM (CET) one week prior to the event date. This transfer must be completed independently by the participants through their personal accounts on the official registration website, SQM Time (https://sqmtime.com/).

- Transfer Procedure: A detailed step-by-step guide on how to perform a bib transfer will be available on the official event FAQ page. Participants are strongly encouraged to consult this guide to ensure the transfer is processed correctly.

- Responsibility: It is the responsibility of the participant transferring their bib (the original registrant) to ensure the new participant (the transferee) receives all necessary race information and agrees to the Race Rules and Terms & Conditions.

- Transfer Deadline: The deadline for self-service bib transfers is 11:59 PM (CET) one week before the event date. After this deadline, no further transfers will be permitted.

- Transfer Fee: A transfer fee may apply and will be charged during the transfer process on the registration platform.
-
- Unauthorized Transfer: Any participant found to be running with another person’s bib number without completing an official transfer through the SQM Time platform will be disqualified. Both the original registrant and the unauthorized runner may be subject to a ban from future events.

- Data Accuracy: It is crucial that the new participant’s details are accurately entered during the transfer process. This information is used for race timing, safety, and communication purposes.

- Liability: Once the transfer is complete, the new participant assumes all responsibilities and liabilities associated with participation in the event. The original registrant is no longer considered a participant and is released from any liability, provided the transfer was completed according to the procedure.
GOVERNING LAW
These Terms & Conditions shall be governed by and construed in accordance with the laws of Belgium. Any disputes arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Belgium.
AMENDMENTS
The Race Organizers reserve the right to amend these Terms & Conditions at any time. Any changes will be posted on the official race website and will be effective immediately upon posting.
By registering for the event, you acknowledge that you have read, understood, and agree to abide by these Terms & Conditions and the Race Rules. You also acknowledge the inherent risks associated with participating in a self-supported ultramarathon and accept full responsibility for your own safety and well-being during the event.
